Objective

The Maintenance Accounting & Billing Assistant is responsible for efficient operations to ensure data processing, accuracy of invoicing, and proper payments of the Maintenance department. In addition, that proper accounting procedures are followed to account for the receipt of payment for goods and services completed by the organization.


Responsibilities and Duties

1. Answer and direct phone calls

2. Ensure Purchase Orders/Shop Orders are properly received, processed, and billed

3. Assist with day-to-day department items

4. Enter vendor Invoices and credits into TFBO for the Maintenance Department

5. Work with Accounting to ensure all backup documentation is on file

6. Submit to Accounting weekly Vendor and Contractor Payment report that need checks cut for the week

7. Reconcile monthly vendor statements

8. Assign Parts and Services to Million Air Receivables/Work orders and verify GL Codes

9. Create invoices that pertain to parts services for Million Air Houston customers

10. Assign GL coding to Fed Ex billing and verify shipping fees are accurately applied to Million Air customers work orders.

11. Create POs as needed.

12. Generate reports pertaining to Parts Dept (ex, cost and revenue of parts, outside services and etc.)

13. Run monthly Parts Sales Report by GL codes.

14. Process timecards to ensure timely recordkeeping

15. Contribute to departmental efforts by accomplishing requested task as needed.

16. Adhere to Million Air basics and assist/provide lateral service to all departments where needed.

17. Perform other duties and special projects as requested by supervisor, and or managers.

18. Run credit cards once approved by customer/ create credits once approved by DOM

19. Generate monthly billable labor analysis report

Competencies
1. Strong computer skills including Microsoft Office Products

2. Minimum 3 years of business experience with emphasis on day-to-day AP functions

3. Must be reliable and dependable

4. Ability to exercise independent direction and judgement, and work in a fast paced, time sensitive environment.

5. Strong communication, organizational, and interpersonal skills. Excellent critical thinking skills.

6. Experience in a multi-company environment preferred.

7. Ability to successfully complete tasks that require high attention to detail, with minimal supervision.


Reporting Relationship
This position reports to the Maintenance Department EVP and the Director of Maintenance.


Work Environment
This position operates in a professional environment, which may include exposure to all types of weather conditions and direct contact with both moving and non-moving aircraft.


Position Type and Expected Hours of Work
This is a non-exempt position.

Set schedule of Monday through Friday, 8 hours per day, with variations as business necessitates.


Travel
No travel is expected for this position.


Required Education and Experience
1. High school diploma or equivalent

2. 2-3 years of business experience with emphasis on AP functions


Additional Eligibility Qualifications
1. Ability to occasionally work evenings and/or weekends

2. Prefer associate degree in accounting

3. Ability to pass a background check

4. Zero tolerance drug free company
