The Lead Customer Service Representative is responsible to ensure the timely and accurate processing of fuel invoices, accounting, revenue and receivables.  They are also responsible for providing effective customer service for all internal and external customers by using excellent, in-depth knowledge of company products and programs as well as communicating effectively with customers, pilots, and team members within the customer service department.

Responsibilities and Duties

  1. Greet customers in a friendly, professional manner
  2. Provide concierge services to pilots and customers including making reservations as required
  3. Invoicing for services rendered to customers and pilots
  4. Record customer preferences in Million Air CSI system
  5. Proactive preparation for all incoming aircraft
  6. Provides timely feedback to the company regarding service failures or customer concerns
  7. Partner with line service team to meet and exceed customer's service expectations
  8. Keep hospitality bar stocked with snacks and beverages
  9. Maintain neat work area at all times to include front desk, lobby, and all FBO amenities
  10. Maintain fuel meter log; input fuel receipts and reconcile fuels
  11. Update fuel prices; order fuel from suppliers
  12. Audit fuel tickets and invoices for completeness and accuracy; reconcile and close credit card batches
  13. Prepare monthly fuel summary report depicting inventory reconciliations & compared to counted inventory, resolve all variances
  14. Where applicable, invoice airlines and other companies for fueling and other services
  15. Communicate fuel inventory levels with airlines and coordinate orders
  16. Application of customer payments to accounts receivable
  17. Other duties as assigned

Competencies

  1. Customer focus- naturally outgoing/extroverted
  2. Communicate with customers and employees in person, on phone, and through radio communications
  3. Strong computer skills, proficient in Excel & including other Microsoft office products and point of sale programs
  4. Basic mathematical knowledge
  5. Proven track record of business controls and assurance compliance and training (prefer 6+ hours of accounting)
  6. Absolute confidentiality and high integrity. Must be reliable and dependable.
  7. Strong communication, organizational, and interpersonal skills. Excellent critical thinking skills
  8. Ability to successfully complete tacit require high attention to detail, with minimal supervision.
  9. Must be able to operate a motor vehicle and be insurable by Company insurance policy (Requires clean driving record)
  10. Bi-lingual (English & Japanese) preferred, but not mandatory

Reporting Relationship This position reports to the General Manager

Work Environment This position operates in a professional environment, which may include exposure to all types of weather conditions and direct contact with both moving and non-moving aircraft.

Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job, to include but not limited to:

  1. Must be able to lift 25 pounds
  2. Stand to greet customers during verbal exchanges, walk throughout the facility to interact with customers
  3. Possible exposure to hazardous noise levels, chemicals, fumes, and machinery

Position Type and Expected Hours of Work This is a non-exempt position Normal schedule is Monday through Thursday (4/10's), with exceptions for heavy traffic periods as required

Travel No travel is expected for this position.

Education, Experience, and Eligibility Qualifications

  1. Minimum three years of business experience with emphasis on accounting is desirable but not required
  2. High School Diploma or equivalent
  3. Prior FBO/Aviation experience preferred, but not required
  4. Bilingual preferred but not required (Japanese)
  5. Acceptable driving record
  6. Ability to pass a background check
  7. Zero tolerance drug free employer includes pre-employment and random screening
